Other Collections

ACMI holds over one thousand 16mm and 35mm feature films in other collections, including material formerly held by the French Embassy and Chinese Consultate, as well as a number of classic Russian features and other key works of world cinema. 

Access is restricted to educational institutions, cultural organisations, government departments, and community groups such as film societies, as many of the films in the collection cannot be replaced.

Registration

After reading and agreeing to the Conditions of Loan on this page, please complete a registration form. To screen 16mm or 35mm titles held by ACMI you will also need to complete the Projector Services report included in the application forms.

Bookings

Collection Access Cardholders can make bookings via the online catalogue or by mail, fax or email.

Bookings can be made up to 12 months in advance. The access period is one day with a maximum of three days on request. For all bookings to be processed we require your access card number and screening date (with two alternative dates should the first be unavailable). Specify 'first available' if you want the title to be despatched to you as soon as it becomes available.

After your booking request has been processed we will send you a confirmation notice. Please check this notice carefully to ensure correct consignment of films.

Please allow 10 working days notice between booking and screening dates. Bookings made with less than 10 working days notice will incur expedite charges.

Extensions

Availability permitting, extensions can be made either by mail, fax, email or telephone. Quote your access card number, the order number, the title or catalogue number of the item being extended, and the new screening date. A fee of $2 per order applies to all extensions. Titles may only be extended for up to one week.

Cancellations

Orders may be cancelled, in whole or in part, by mail, fax, email or telephone. Quote your client number, the order number, and the title or catalogue number. Please advise us of cancellations at least five days before despatch date as orders cannot be cancelled once they are despatched. A cancellation fee may apply.

On-site viewing

By arrangement, researchers can view films, videos and DVDs on-site at the viewing facility located at ACMI, Federation Square.

Delivery

For Australia-wide clients - all orders for films are delivered by Australia Post courier. Consignments are timed to arrive the day before the designated screening date at the latest.

Conditions of Loan

Copyright

ACMI recognises and supports the rights of copyright holders. All 16mm and 35mm films accessed from ACMI are copyrighted.

Unless prior written consent has been obtained from the copyright holder, it is an offence to:

  • Publicly screen 16mm and 35mm feature films
  • Derive profit from screenings
  • Use 16mm and 35mm feature films for any commercial purpose
  • Exhibit 16mm and 35mm feature films in commercial cinemas
  • Transmit 16mm and 35mm feature films by electronic means, such as television, closed circuit, cable or any other electronic means of any kind, present or future
  • Reproduce 16mm and 35mm feature films as a whole or in part, by videotape, videodisc, or any other format whatsoever

The restrictions listed above apply to, but are not limited to, the soundtrack and visuals within 16mm and 35mm feature films.

Other conditions

  • Collection Access Cardholders who have been granted specific rights to use titles for any of the above purposes need to supply ACMI with a copy of documentation to this effect.
  • Direct charges for admittance to screenings of 16mm and 35mm feature films are not permitted.
  • In any advertising, screening notes or printed matter connected with the screening of 16mm and 35mm feature films, acknowledgement should be given to the Australian Centre for the Moving Image as the source. 
  • Access can only be made by groups or organisations. Access cannot be made by individuals for private or home screenings. 
  • Collection Access Cardholders may not re-lend films, videos or laserdiscs to any other person or organisation.

Film handling

We encourage all Collection Access Cardholders to learn how to care for film and other formats, to help ensure that titles remain available for others to enjoy. Collection Access Cardholders are liable for the replacement cost of damaged, lost or stolen films, videos, CD-ROM and DVDs. Notification of damaged, lost or stolen items must be made to collections staff.

With the exception of titles not screened, 16mm films must be returned un-rewound, that is, tail out. They must be returned on the correct sized plastic reels and in the correct cans. Collection Access Cardholders will require plastic reels in 400', 800', 1200', 1600', 2000', 2200' sizes.

Loss or damage of titles

Collection Access Cardholders are held responsible for items accessed until they are received at ACMI. If films are damaged, the Collection Access Cardholder is responsible for all costs of repair.

You should not attempt to repair damage, but should include an explanation of the nature and cause of the damage in the screening report. Collection Access Cardholders will not be charged for damage made by a previous Collection Access Cardholder, however, any apparent damage must be noted on the screening report.

If films are lost either while with the Collection Access Cardholder or in return transit to ACMI, the Collection Access Cardholder is responsible for all replacement costs. ACMI accepts responsibility for any item lost during transit to the Collection Access Cardholder.

The screening report must be completed and returned with its consignment. Information supplied by Collection Access Cardholders enables ACMI to assess its service and to be more responsive to Collection Access Cardholders' needs.

Special 35mm conditions

  • When accessing 35mm prints, the Collection Access Cardholder are required to pay for the freight to and from ACMI.
  • By proving the details of your preferred contract courier, including your account number, ACMI's despatch department can organise for items to be sent to you. If Collection Access Cardholders do not provide this information, it is their responsibility to organise pick up of the 35mm prints ordered.

Returning titles

It is the responsibility of the Collection Access Cardholder to return items on time to ACMI and pre-pay all costs this entails.

All Collection Access Cardholders are required to pay return freight on orders returned to ACMI. Orders should be sent back by the return date. (We allow sufficient travel time for return orders). We recommend that you use a trackable mail system with all returns, ie. Australia Post Registered, Express Post or a commercial courier. The following suggested freight modes are given to assist distant Collection Access Cardholders in minimising their return freight bills.

Pre-paid road freight (eg skyroad, comet, cope)

Most Collection Access Cardholders will not need to use air freight for returns. If you are advised by the freight company that road freight will take more than five days to return consignments to Melbourne, phone, fax or email us about the possibility of modifying your loan period to accommodate return by road. Ensure that you always specify the rate on the consignment note otherwise you will probably be charged express rate. Please specify that freight is to be charged to the Collection Access Cardholder. ACMI is the receiver and as such should not be charged for any return freight.

Australia Post courier and security post

Unregistered parcel post is less reliable as there is no proof of despatch, but items sent by the normal mail stream can be insured. Insured items must be signed for by the receiver. As many of our titles are expensive to replace, Collection Access Cardholders should consider insuring items returned by this method as they are responsible for any loss. Security Post and Certified Mail will incur a small charge on top of postage and will insure you for items up to $75. Express Post guarantees to deliver your prepaid envelope or satchel the next business day over specific routes within the Express Post domestic network.

Fees

The following administration and checking fees apply:

  • 16mm films: $27.50 (inc. $2.50 GST)
  • 35mm film: $33.00 (inc. $3.00 GST).

Expedite charges

The following charges apply to all bookings made within two weeks of the despatch date.

  • Bookings within two weeks of screening: $30 + administration and checking fee
  • Bookings within one week of screening: $60 + administration and checking fee
  • Bookings within 48 hours of delivery date: $90 + administration and checking fee

Extensions and late returns

Titles may only be extended for up to one week.

A late fee of $5 per title per day is incurred for all overdue items. If you require a title for longer, it may be extended by either phone, fax or email.

Cancellation fees

In the event that a booking is cancelled, cancellation charges may apply as follows:

  • 48 hours notice - no charge
  • 24- 48 hours notice - half the normal handling charge applies
  • less than 24 hours notice - full handling charge applies.

(Please note that bookings cannot be cancelled once they are despatched).

Invoices

Invoices are posted at the start of each month. You will not be invoiced until your order has been returned and received by collections. All invoices must be paid within 30 days of the invoice date. collections reserves the right to withhold borrowing rights in the event of overdue accounts.

Payments can be made either by cheque (payable to the Australian Centre for the Moving Image), credit card (Bankcard, Mastercard or Visa), Direct Debit or Inter Library Loan Voucher. Please forward a copy of the invoice along with your payment to the ACMI, PO Box 14, Flinders Lane, VIC 8009.
